Signed sales contract

Three-party contract (Vault Hire, customer, customer's legal counsel) is e-signed. The moment the last signature lands, an implementation project is auto-provisioned and the customer's named owner gets an invite.

What this step does

No "handoff meeting from sales to delivery". The contract is the kickoff trigger. The customer's owner, Vault Hire's owner, and the agreed methodology (Agile / Waterfall / Hybrid) are all captured at sign.

PM tool: project spun up

The implementation PM tool opens with the project at "Discovery" phase. Both owners have access; both see the same dashboard with RAG status, milestones, and pending tasks.

What this step does

The PM tool is built for banking implementations, not generic SaaS. It already knows the phases (Discovery, Scope, Build, Test, Tollgate, Go-Live, Post-Live) and the artefacts each phase requires.

Scope & RACI

First working session: scope items are added with explicit RACI. The customer's compliance lead is Accountable for the SMCR config; Vault Hire's solutions engineer is Responsible.

What this step does

Every scope item carries an explicit owner on both sides. The customer can no longer claim "we didn't know that was on us"; Vault Hire can no longer surprise the customer.

Tasks, sub-tasks, dependencies

The PM tool supports nested tasks and explicit dependencies (task A blocks task B). The critical path is visible. Anything red is escalated to both owners' inboxes daily.

What this step does

Banking implementations break on invisible dependencies — the SSO setup blocks the UAT environment which blocks the integration test which blocks go-live. Vault Hire's PM tool makes every dependency explicit and computed.

AI Health Summary & Portfolio Inbox

Every morning, both owners get an AI-generated 3-sentence health summary of the project: what slipped overnight, what's about to slip, what to action today. Aggregated across projects, the Portfolio Inbox is what Vault Hire's leadership reads with their coffee.

What this step does

Implementation status meetings become shorter because both sides arrive with the same data. The AI is grounded in the project record — never a freeform "what do you think is going on?"

Tollgates & dual sign-off

Each major phase ends in a tollgate. Both owners must sign — no unilateral phase exits.

What this step does

Customer can't be pushed into UAT before they're ready. Vault Hire can't slip a delayed milestone past the customer. Sign-off is captured in the same audit chain as every other action in the platform.

Go-live

The final tollgate flips the tenant from Pre-Prod to Production. Sandbox and Pre-Prod environments remain available for the customer's ongoing change-control needs.

What this step does

From the moment of go-live, the customer is a regulated production tenant. Vault Hire's SRE team is bound by the production SLA in the original contract. Everything that was true about the candidate audit chain is now true about the customer's internal hires.

Lessons-learned harvest

What this step does

  • 30 days post-live, the PM tool prompts both owners for a structured post-mortem.
  • Customer-identifying details are stripped; only patterns survive.
  • The anonymised lessons go into the central Lessons-Learned dashboard, available to every future implementation.

This is the platform's compounding asset — every customer makes the next implementation faster and safer.
